Privacy Policy
This document is a working draft template intended to be reviewed and adapted by qualified legal counsel before commercial launch. It does not constitute legal advice.
1. Who we are
AIT Technologies GmbH, operator of TradeDocs AI Desk (“TradeDocs”, “we”, “us”), is registered in Germany at Im Technologiepark 1, 15236 Frankfurt (Oder), Ortsteil Siedlung Markendorf, Germany — Handelsregister: HRB 14115 FF — VAT / USt-IdNr.: DE286 799 230. 2. What information we collect
When you register interest through the early-access form we collect: name, business email, company name, country, area of work, preferred language, optional document need and optional message. When you use the authenticated platform we additionally process the transaction data you enter (parties, commercial terms, uploaded documents).
3. Purpose of processing
We process your data to (a) provide the requested product access, (b) generate the documents you request, (c) communicate with you about your account and requests, (d) comply with legal obligations, and (e) improve the service in aggregate and anonymised form only.
4. Legal basis (GDPR)
Processing is based on Art. 6(1)(b) — performance of a contract; Art. 6(1)(f) — legitimate interest in operating and securing the service; and where relevant Art. 6(1)(a) — your explicit consent for marketing communications.
5. Confidentiality of client documents
Documents you upload, generate or store on the platform are treated as confidential. They are not shared with third parties, not used to train third-party models, and are subject to organisation-based access control. NDA available upon request.
6. Sub-processors
We use vetted infrastructure sub-processors (hosting, database, email delivery) under written data-processing agreements. A current list is available on request.
7. International transfers
Where data is transferred outside the EEA, we rely on Standard Contractual Clauses or an adequacy decision.
8. Retention
Early-access records are kept until you request deletion or opt out. Active-account transaction data is retained for the duration of the contract plus a limited archival period. Deletion requests: email us at desk@tradedocs.online.
9. Your rights
You have the right to access, rectify, delete or export your personal data, and to withdraw consent at any time. Contact desk@tradedocs.online to exercise these rights. You also have the right to lodge a complaint with your local supervisory authority.
10. Security
We apply industry-standard technical and organisational measures: encrypted transport (TLS), controlled access, protected user accounts, and organisation-based data separation.
11. Changes
We may update this policy. Material changes will be announced via the website and, where appropriate, by direct notification.
